Sheryl Newman shared thisFounders ask your team who owns AI. Not the policy. The person. Every client conversation about data governance covers the same topics. Accuracy. Privacy. Protection. All of it matters. All of it answers one question can we trust the data Copilot sees? But there's a second question. Can we trust what people do with what Copilot produces? That's AI governance. The quote sent to a client from a draft nobody read. The board paper built on a summary nobody checked. In most SMEs there's no IT manager. So governance defaults to the founder. Owned means someone catches the mistake. Defaulted means the client catches it for you. We took a call from a five-person team. Their biggest client is a multi national enterprise. They'd shared that client's information through SharePoint without knowing they'd done it. Not careless. Not negligent. They'd been advised, and the advice was wrong. Nobody had checked the setup actually held. That's the gap. Advice isn't governance. Governance is someone checking, every time. The ones making progress sorted their data before their AI. Get that order right and mistakes stay small enough to fix. Get it wrong and the client finds them first. Here's where to start: ❌ Issue: Copilot surfaces something it shouldn't, and nobody knows why. ✅Start: Sort permissions and labels before the licences, not after. ❌Issue: Everyone assumes it's someone else's job. ✅ Start: Put a name against it. In-house or a partner, but a name. That's the foundation, not the finished job. Proper governance covers training, oversight, and the evidence the ICO expects you to have. But a named owner and checked permissions put you ahead of most SMEs running Copilot today. Here's how to operate at the next level After 100+ technology rollouts, including Microsoft 365 Copilot, I see the same mistake every time. People treat Copilot like a faster way to write formulas. It isn't. I spent years doing it the hard way. VLOOKUPs. Nested IFs. Broken references at 4pm on a Friday. Double-checking every number before it went near a stakeholder. That was the job. Today, that work takes minutes. The shift most people miss: Excel was never about formulas. It was about answering business questions. Formulas were just how you had to do it. The best teams direct Excel now. They stopped doing it manually. Now you describe what you need. Copilot does the rest. Here's what's working right now: → Cleaning messy data Remove duplicates, standardise formats and prep for analysis. No formulas. → Understanding performance Spot trends, anomalies and outliers. Ask for the explanation in plain English. → Building formulas in context Copilot writes the formula, places it in your workbook and explains how it works. Five habits that sharpen your results: >Tell Copilot what each column represents before you ask for analysis. Context changes everything. >Describe the business outcome you need, not the formula you think you need. >Break big tasks into smaller prompts. >Validate every AI-generated formula before it touches an important workbook. >Remember Copilot works inside your Microsoft security boundary. Your data stays put. Three prompts to steal today: >"Analyse this sales data and explain the three biggest trends in plain English." >"Create a formula to calculate gross margin and explain how it works." >"Find duplicates, missing values and inconsistent formatting, then recommend a clean-up." I wish I'd been aware of this sooner. Microsoft's early adopter data puts the saving from Copilot in Excel at 2 hours a week. Per person. On spreadsheets alone. Sheryl Newman shared thisSixteen years ago, I carried a tiny chocolate Labrador because his legs were too little. He wasn't mine. He was my sister's dog, and for eight years I was the fun auntie. Then she moved abroad. And Buddy stayed. Not so little anymore a great tank of a dog, fully capable of getting himself anywhere he wanted to be. Usually somewhere he shouldn't. But despite appearances so very gentle. Now my husband carries him again. This time, because age like it does, has reached his joints. It keeps catching me out. Yesterday we carried him to his favourite place He tried to to walk the few paces into the sea and his back legs simply slid away beneath him. He was absolutely fine. I wasn't. That's the thing about old dogs. You don't notice it happening. Same puppy eyes, same obsession with balls. sticks and sausages, same excited welcome when you walk through the door. Then one day you really look at them and see it. Buddy has been there through the years I'd rather not repeat. Never asking for anything other than to be close. Some days he's been chasing a ball across the beach at Balmedie. Most Sundays he's been collecting sausages and adoration in a café like minor royalty. He's been equally delighted with both. He taught me to appreciate beach walks, fresh air, and routine. Now these days we go slower. More sniffing, more watching. He sets the pace now. They are carried home as puppies. Then one day, we carry them again. He's been there for sixteen years of my life. I've been there for all of his. Time goes faster than you think. I’m grateful still for these moments. Sheryl Newman shared thisThe document you approve tomorrow may not be written by a human. After 25+ years implementing technology, I can tell you where risk starts. Not with the tool. With what people can’t see. AI is no longer just helping write your Microsoft Word documents. It now sits inside the way we create, edit and approve them. But Microsoft Copilot and Claude for Word are not doing the same job. Same Word document. Two different types of intelligence. Different opportunities. Different risks. >The number that changed. >The clause nobody questioned. >The wording that shifted meaning. >The paragraph that “looked fine.” Before AI, we asked: “Who edited this document?” Now we need to ask: “What did AI change?” Because creating documents faster does not automatically mean making better decisions. That’s why knowing the difference matters. 🔵 Microsoft Copilot helps you create faster. Think: Blank page → working draft. It helps teams: → Turn ideas into first versions → Summarise information quickly → Rewrite for different audiences → Bring information together across Microsoft 365 The value: Less time starting. More time improving. 🟠 Claude for Word helps you review differently. Think: Important document → confident approval. It helps teams: → Analyse complex documents → Question wording → Spot areas needing attention → Work through detailed changes The value: Less blind trust. More informed accurate decisions. And that looks different across every department. Legal: “Did the meaning of that clause change?” Finance: “Can we trace where that number came from?” HR: “Does this policy still say what we intended?” Marketing: “Does this still sound like us?” Leaders: “Would I put my name against this decision?” AI can save considerable time. A UK Government trial found users saved an average of 26 minutes per person, per day. 1 working day every month. But saving time is only valuable if you can trust the output. Before approving an AI-created document, ask: ✓ What did AI create? ✓ What did AI change? ✓ What source did it use? ✓ Who checked it? ✓ Who owns the decision? The future is not Copilot OR Claude. Sheryl Newman shared thisNobody notices good data governance. Until it costs £3.29 million. That's the average UK breach, says IBM. Yours would be smaller. The question is whether you'd survive it. Almost 30 years of implementing tech programmes with governance taught me these lessons. Most leaders learn them too late: 1. No thanks for the breach that didn't happen ↳ All the blame for the one that did ✅ Report the near-misses. Put them on the leadership agenda. 2. Everyone wants the dashboard ↳ When the numbers look good, everyone built it. When they're wrong, nobody touched it. ✅ Name an owner for every critical dataset. In writing. 3. Your tools aren't the problem ↳ It's people and process. The software just takes the blame. ✅ Fix the process. Don't blame the tool. 4. Leaders love the idea of governance ↳ Because nothing's gone wrong yet, it never makes the budget ✅ Fund it before something goes wrong. Not after. 5. A policy nobody follows is just a PDF ↳ It gets emailed out, skimmed once, and never opened again ✅ Invest as much on adoption as you did on drafting. 6. "Where did this data come from?" sounds easy ↳ Ask it. You'll get three answers from three people. ✅ Map your critical data sources before AI touches them. 7. The person managing your data was never given the job ↳ They picked it up because nobody else would ✅ Ask what they need. Then give them the support. 8. Governance has no go-live date ↳ You don't finish governance. It just keeps going. ✅ Put a quarterly review in the diary. Today. 9. You'll feel like the only one who cares ↳ Meeting after meeting, you'll be the one pushing it ✅ Build allies early. Don't carry it alone. 10. Perfect data doesn't exist ↳ Most leaders don't know what they have. Dig in and it's usually better than you feared. ✅ Agree what "good enough" looks like. Then make a start. Sheryl Newman shared thisI was 15. At a party I never told anyone I was going to. With people my parents had never met. The party emptied out. Suddenly, I was in a house with two men I didn't know. 40 miles from home. No way back. No one I trusted. I had two choices. Stay quiet and hope nothing happened. Or make the call. My mum answered. "Give me 30 minutes. I'll be there." I got in the car and braced myself. For the shouting. For the lecture. For the "what were you thinking?" She stopped once at a petrol station. Came back with a can of juice and a chocolate bar. Still nothing. When we got home, she went straight to bed. I dreaded the morning. But she got up and went to work. She never mentioned it. And she never told my dad. Not that morning. Not ever. It took me years to understand why. She knew only one thing mattered that night. I'd made a mistake. But when it mattered most, I reached out. That was the lesson. Years later, leading a team of my own, I still measure myself against that night. Because the people around you will make mistakes. That's human. Whether they come to you afterwards is leadership. Your reaction to the first mistake determines whether you hear about the next one. Criticism might feel like accountability. But repeated blame rarely stops mistakes. It stops honesty. And sometimes, that honest conversation is the very thing that keeps someone safe. The goal isn't to build a team who never make mistakes. Sheryl Newman reposted thisCopilot has a setting menu nobody opens. It's worth 5 hours a week. 1.It already knows who's who. In Teams, just ask "what did Sarah say about Q3." Watch. 2.Email drags straight into chat. In Outlook, open a thread and click "Add to prompt." Done. 3.A meeting becomes a brain. In Copilot Chat, create a Notebook and add the meeting as a reference. Ask what was decided it keeps the context as your project evolves. 4. Reports become podcasts. In Researcher, run a report and hit "Audio overview" (if enabled for your org). Listen on the drive home. 5. You choose which AI does the thinking. In Excel's Copilot pane, click the model name top right. Yes including Claude (if your admin's enabled it). 6.Jargon explains itself. In PowerPoint, right-click any acronym, image, or slide. Hit Explain. 7. Long documents read themselves to you. In Word, open the AI Summary panel. Headphones icon. Done. 8. Your calendar can say no for you. In Outlook Copilot Chat, type "decline anything outside 9-5. 9. It extends beyond Microsoft now. In Copilot Chat, click Sources. Connect HubSpot or Notion (if enabled for your org). 10. Long chats get dafter. After 10 -15 exchanges, start a new chat instead of dragging the old one along. Sheryl Newman shared thisI couldn't name a single woman tech founder growing up. Until I decided to become one. So when I tell you that being recognised at the The Allica Bank Great British Entrepreneur Awards in the category of Services Entrepreneur Impact, for the work we do in support of our customers, is one of those moments I’ll remember for rest of my life. It means something for the younger version of me who was quietly looking for proof that to be a woman in this sector was possible. Never in a million years did I imagine that as a business we would be recognised in this way. I didn't get here alone. Leadership has never been a solo act. It's a team sport. I keep returning to that. Because someone had to believe in you before you fully believed in yourself. Someone opened a door, said your name in a room you weren't in, or lit the path just long enough for you to see the next step. I've had those people. And I hope I've been that for others. Three beliefs I hold onto: - As a leader you create space for others to rise. Awards come and go. The people you helped rise, they stay. - Transformation begins the moment purpose outweighs position. - Legacy isn't built through what you achieve. It's built through who becomes stronger because of you. So if you are a woman early in her tech entrepreneurship journey who sees this and thinks well maybe I can build something too, then this moment has already outgrown the award. And to my colleagues. The ones who show up every day with trust, support, and a shared commitment to what we are building together. You built this with me. The recognition belongs to all of us. It is appreciated. More than any words I can say. Thank you.

Sheryl Newman shared thisYour Copilot doesn't need a better prompt. It needs two documents. "Make this less robotic..." "Just tidy this up..." "Sound more like me..." Typed any of those more than once this month? Your AI knows nothing about you. It's the single biggest gap I see when companies start using Copilot You skip the part that actually makes it useful. Telling it about you and the business. Think about a new hire on day one. Nobody hands them a laptop and walks off. You give them context. Who you are. How you work. What matters. Copilot gets none of that. Every chat starts from zero. And you're retyping the same context every single time. The fix. Two documents. Write them this week. About You. How you think. How you communicate. What objectives you're trying to achieve. About The Business. Who you serve. What you actually sell. The language your customers use. What's non negotiable security, how you want to sound, whatever matters most. Save them as a Word doc to your OneDrive. At the start of each Copilot chat, hit the + button and upload both. Keep it short. Bullet points under each heading, not an essay. Bonus tip: tell it what to bin, not just what to include. Three phrases that make writing sound like AI wrote it: "In today's fast-paced world..." "Let's dive in..." "It's not just X, it's Y..." Bin those in your "About You" document and you're already ahead of most people using AI. That's the whole system. No software, no setup, no prompt engineering certificate required. It's the same induction pack you'd give a new hire on day one. Do this once. You stop retyping the same thing forever. I had the pleasure of being invited to the opening of Nana's Hoose within the GSR Training Ltd facilities. Christina Sutherland and Kelsey Morgan have created such a wonderful and authentic room to train at home carers. So many small but perfect touches to create the best training environment. And to top it of, there was lots of networking going on. As always great to see Gayle Thomson Sarah Suter Judith Mackie Andrew Reid Jamie Paxton Karen Smith and so many others. Sadly the fear of not winning enough work, cashflow, paying everyone on time and slow payers has really crept up on me recently and I’ve not been myself. This year has seen massive, positive changes with me buying my business partner out in April and rebranding to McKenzie Projects Ltd however this process has taken a lot out of me both mentally and financially but through sheer determination I feel the storm is finally clearing and happier days are coming. The team continue to graft hard for our repeat customers, we’ve won new projects starting soon and new clients want to work with us. A heartfelt thank you to everyone who has supported me through this difficult period. Thanks for listening and letting me off load when I needed too, I won’t forget it. It is always a privilege to have the opportunity to go quayside at South Harbour and witness the vast operation in action. Well done to everyone involved yesterday, both quayside and across the region, as more than 5,000 visitors from two large cruise ships, Norwegian Star and AIDAsol, arrived in Aberdeen and Aberdeenshire. We had 26 of our fantastic volunteer's quayside welcoming visitors from both ships. A special shout out to my VisitAberdeenshire colleagues Ashleigh Pirie, Deirdre O'Donnell, Jaden Lumsden, Kayleigh McLeish, and Rachel Smith, who came down to lend a hand and experience first hand exactly what our volunteers do. It was great to see so many positive interactions throughout the day and to witness the warm welcome that our volunteers provide to visitors from around the world. While the region takes a little breather today from our cruise visitors, our volunteers will be back quayside on Saturday to welcome passengers arriving on Viking Sky. 🛳️ Yvonne Cook | Port of Aberdeen
